The Coconut Water Email Chain: Why 20,000 Cartons Failed the Brix Test – and Who Was Really at Fault

 [The following is an email thread from July-August 2026 between a third-party QC inspector and a coconut water factory in Hainan. The names have been removed but the details are real. We received this from the inspector with permission to share.]


Email 1 – QC Inspector to Factory Quality Manager

Date: July 15, 2026
Subject: 20,000 cartons - Brix test results below specification
From: [Inspector Name], Independent QC
To: [Factory Quality Manager]

Dear Mr. [Name],

I am writing to inform you that the pre-shipment inspection of coconut water (Batch #CW-0715) has failed the Brix test.

I selected 30 cartons at random from the 20,000-carton shipment. I tested each carton using a calibrated refractometer. The specification on your datasheet is 6.2°Brix ± 0.3°Brix (5.9 - 6.5°Brix).

The results:

  • Average Brix across 30 samples: 5.2°Brix

  • Range: 4.8°Brix to 5.6°Brix

  • Zero samples within the specification range

Every sample tested below the lower limit.

I am rejecting the shipment until this is resolved.

Please provide:

  1. Your in-house test records for this batch

Email 2 – Factory Quality Manager to QC Inspector

Dear [Inspector Name],

I have received your test results and I am concerned. I have reviewed our in-house records for Batch #CW-0715. They show an average Brix of 6.3°Brix, which is well within specification.

I do not understand the discrepancy.

We have tested the same batch with:

  • Production line refractometer: 6.3°Brix (calibrated daily)

  • Laboratory refractometer: 6.4°Brix (calibrated weekly, third-party calibration annually)

  • Third-party lab reference sample: 6.25°Brix (sent to SGS Hainan)

All three tests agree. The batch is within specification.

I suspect a sampling or calibration issue on your end. I respectfully request that you re-calibrate your refractometer and test the samples again.

Alternatively, I can send you sealed reference samples from the same batch. They are available at the factory.

Please confirm your refractometer calibration date and the temperature at which you performed the test. Temperature affects Brix reading significantly.

Email 3 – QC Inspector to Factory Quality Manager

Dear Mr. [Name],

Thank you for your prompt response. I appreciate the additional information.

I re-calibrated my refractometer before the second round of testing. It was calibrated with distilled water and a 10°Brix standard solution. Both readings were within tolerance.

I tested 15 more cartons from the same batch. The average Brix was 5.3°Brix.

I also checked the temperature. The samples were allowed to reach room temperature before testing. I tested them at 25°C.

However—and I should have mentioned this in my first email—I noticed something about the product itself. The coconut water appears to be slightly less clear than usual. There is a slight haze. In my experience, this can indicate dilution.

I suspect the product was diluted with water or an additive was used that affects the Brix reading.

I understand your internal tests show 6.3°Brix. I do not question your internal calibration. But I cannot reconcile my readings with yours.

I propose we test the samples together.

I am available on July 20 to visit your factory. I can bring my refractometer. You can test the same samples on your refractometer. We can compare the results in real time.

Please let me know if this is acceptable.

Email 4 – Factory Quality Manager to QC Inspector

Dear [Inspector Name],

Thank you for your proposal. Yes, I agree to test the samples together on July 20. I will prepare the samples and a refractometer for you.

One more thing: I have checked our production records from Batch #CW-0715. There was a brief pause in the production line on the day of filling. The line stopped for approximately 20 minutes due to a pump issue. The system was flushed with water during the restart.

The flush water was supposed to be completely drained before production resumed. According to our operators, the flush water was fully drained. However, if the flush water was not completely drained, it is possible that the first few cartons of the batch were diluted. The product from after the pause would be normal.

I have reviewed the batch records. The cartons with the lowest Brix readings in your test may have been from the first cartons after the restart. The rest of the batch—the majority—may be within spec. Your sample of 30 cartons may have been unrepresentative. It may have included too many cartons from the diluted portion.

I cannot confirm this without more information. But it is a possible explanation.

We will discuss this further during your visit.

Postscript – QC Inspector's Note

After the joint inspection on July 20, 2026, the inspector added a note to the file:

We visited the factory. We tested 60 cartons together—30 from the early part of the batch, 30 from the later part.

The early cartons (first 500 units after the restart) tested at 5.0-5.5°Brix. The later cartons (remaining 19,500 units) tested at 6.2-6.4°Brix.

The flush water was not completely drained. The first 500 cartons were diluted. The factory's internal test was taken from the middle of the run, not from the beginning. They tested a representative sample of the batch without including the diluted portion.

The factory was not deliberately testing the wrong samples. They were simply not accounting for the start-of-run variation.

We agreed on a partial rejection: the 500 diluted cartons were rejected. The remaining 19,500 cartons were accepted. The customer was informed. They accepted the partial shipment. The factory replaced the 500 cartons at their cost.


What This Email Chain Reveals

This email chain shows a common sourcing problem: tests don't always agree.

The factory's internal test was correct for the samples they tested. The inspector's test was correct for the samples they tested. Both were right. Neither was wrong. The gap was not calibration or method—it was sampling location.

The factory tested the middle of the batch. The inspector tested a random sample that included the start of the batch. The start was diluted. The middle was not.


What Buyers Should Learn

From this email chain, buyers of packaged food and beverages should learn:

  1. Test samples from different parts of the batch. Don't just test the middle. Test the beginning, the middle, and the end. If you only test the middle, you might miss start-of-run or end-of-run variation.

  2. Trust your third-party inspection. The inspector's Brix reading was different from the factory's. It turned out the inspector was right. The factory's sample was correct but not representative. The inspector's test caught a real issue.

  3. The factory's test is not the same as an independent test. The factory tests what they want to test. The independent inspector tests what the buyer wants to test. They are not the same thing.

  4. Brix testing is sensitive to temperature and calibration. Both parties checked their calibration. Both were correct. The issue was sampling, not instrumentation.

  5. Partial rejection is a fair solution. Not every issue requires a full rejection. The factory accepted responsibility for the diluted portion and replaced it.


The End

The shipment arrived on time. The customer accepted the 19,500 good cartons. The 500 replacements arrived three weeks later.

The factory changed their procedure: flush water is now fully drained before production resumes. And they now test samples from the beginning of each run, not just the middle.

The inspector is still working. The factory is still their client.
